JOB SUMMARY
We are seeking a highly organized and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our company, handling front desk responsibilities with a positive and welcoming attitude. In addition to traditional receptionist duties, this role includes responsibilities related to mail sorting, ordering business cards, invoicing, and creating employee badges.
JOB RESPONSIBILITIES
· Greet and welcome visitors with a friendly demeanor.
· Answer and direct phone calls to the appropriate personnel.
· Maintain a tidy and organized reception area.
· Manage the visitor log and issue visitor passes as needed.
· Mail Sorting and Distribution:
· Sort and distribute incoming mail and packages to the appropriate departments.
· General Office Duties:
· Order and manage business cards for employees, ensuring accuracy and timely delivery.
· Assist with invoicing by processing and tracking invoices, ensuring they are correctly recorded and sent out on time.
· Create and issue employee badges, ensuring proper identification and access control.
· Maintain office supplies and ensure all necessary supplies are ordered and stocked.
· Assist with various administrative tasks as needed, supporting the overall efficiency of the department.
BASIC QUALIFICATIONS
Education and Experience Knowledge, Skills, and Abilities:
· Possess a high school diploma or equivalent
qualification.
· At least 2 years of proven experience as a
receptionist.
· Proficient in Microsoft Office Suite (Word, Excel,
Outlook)
· Strong organizational skills with attention to detail. · Excellent verbal and written communication skills. · Ability to multitask and manage time effectively. · Professional appearance and demeanor.
PREFERRED REQUIREMENTS
· At least 5 years of proven experience as a receptionist.
· Experience using Smartsheet.
WORKING CONDITIONS AND PHYSICAL EFFORTS
· Work is normally performed in a typical interior/office environment
· No or very limited exposure to physical risk.
· No or very limited physical effort required.
