Executive Administrative Assistant to CEO Location Memphis, TN :

The Executive Administrative Assistant works as part of the administrative team performing Executive duties necessary to maintain administrative support to the Chief Executive Officer. Duties include a variety of tasks, but not limited to: data entry; filing; copying; faxing; in-house mail distribution; maintenance of Board and other meeting minutes; telephone answering, making appointments and travel plans, preparing reports, gathering and securing confidential information, using various office equipment and computer software programs and telephone and Internet communication.

ESSENTIAL DUTIES/RESPONSIBILITIES:

v Provides consistent communication to the CEO to ensure that information and materials are provided to assist in completing tasks.

v Gives clear updates on assignments (both pending and completed) that clearly describe activities and progress toward agreed-upon objectives.

v Greets vendors and visitors in a professional and courteous manner.

v Handles confidential information which would have an impact on the company operations, performance, or value if shared beyond its intended audience.

v Demonstrates a high degree of professionalism, initiative and independence in supporting the CEO on a wide variety of complex issues.

v Assists the CEO in the timely management of all communication, both written and via telephone, e-mail and voice mail.

v Provides back- up phone support and assistance to the Leadership team as needed.

v Prepares agendas; attends meetings and transcribes minutes and/or correspondence from handwritten notes.

v Maintains office files and opens mail and sorts as directed.

v Arranges and schedules appointments for the CEO as requested; prepares materials for meetings, and makes travel arrangements as directed.

v Makes travel arrangements for the Leadership team as directed.

v Makes necessary preparations for Meetings to include copying documents, mailing, phone calls etc.

v Attends Board of Directors meetings and other meetings, which includes taking, transcribing and distributing minutes as needed.

v Compiles data for reports as directed.

v Performs other necessary duties as required by the health center to meet the goal of providing primary health care services.

SPECIFIC DUTIES/RESPONSIBILITIES:

v Responds to e-mail and telephone requests daily.

v Establishes and maintains effective working relationships with the Leadership team and Center staff.

v Demonstrates awareness of age-specific, cultural and spiritual practices of patients, staff and visitors.

v Understands the functional status and physical needs of patients, staff and visitors.

v May be required to work overtime and/or weekends.

v Ability to strongly embrace and personify the mission of the Memphis Health Center.

v Excellent guest relations skills.

v Ability to organize and prioritize work appropriately.

v Clerical skills acquired either through experience or through academic training.

v Requires experience and demonstrated abilities for working in a fast-paced setting.

v Ability to collaborate and interact with a diverse group of personnel.

v Directly interacts with staff, visitors and patients

EDUCATION/EXPERIENCE:

v Associates Degree preferred

v Up to three (3) years of Executive Administrative office experience preferably working for the CEO.

v Proficient in MS Office Suite, to include Word, Excel and PowerPoint.

v The ability to communicate effectively and articulately in person and on the telephone with other staff, the public, the patients and the medical staff.

v Demonstrate a professional demeanor and excellent communication skills.
