Campaign Engagement Coordinator Job Description: Reporting to the Director of Campaign Strategy and Management, the Campaign Engagement Coordinator is responsible for building a strategic and effective outreach plan for the more than 800 active campaign and University Advancement volunteers, creating and implementing programming that provides a positive and informed volunteer experience, and, in collaboration with advancement colleagues, identifying and tracking potential volunteers to support the campaign through advisory board service, fundraising, special events and donor engagement efforts. The Campaign Engagement Coordinator will build relationships with internal and external stakeholders.

Essential Functions: - Research, write and produce attractive and timely digital communications for the Vice President of University Advancement to share with or present to key volunteers to keep them informed and up to date on campaign news, upcoming events, volunteer opportunities, and other important announcements.
- Serve as a key point of contact with campaign volunteers, cultivating positive relationships to encourage continued engagement and strategic outreach and support on behalf of the campaign.
- Assist in planning meetings and special events for the Campaign Council, which may include communication with volunteers, list management, help with venue and catering selection, production of written and digital presentation materials, nametags, and event day staffing and other logistics. The Council meets on campus or in conjunction with regional campaign events two to three times per year and occasionally meets virtually.
- Working closely with the Director of Donor Relations and gift officers, continue to build on the important processes that are in place for engaging campaign volunteers in cultivation and stewardship of campaign supporters and prospective donors and executing a plan for overall stewardship of campaign supporters.
- In close collaboration with the Campaign and Advancement Events Coordinator and colleagues in Alumni Engagement, implement and execute a plan to involve volunteers strategically in advance of and at regional and on-campus campaign events.
- Develop and implement strategies to recognize and show appreciation for volunteers to acknowledge their contributions to the University, including thank you letters, recognition opportunities, and volunteer education and appreciation events. Develop and implement new ways to recognize key volunteers including the possible development of a Leading Lives of Consequence Award program at the conclusion of the campaign.
- Maintain accurate records of volunteer contact information and other important personal and professional data and maintain up-to-date rosters in the University's CRM system to generate accurate lists and reports as needed for volunteer groups and advisory boards campuswide.
- Collaborate with team members across University Advancement and other departments to identify volunteer opportunities, share resources, and ensure that volunteer messaging aligns with campaign goals and priorities.
- Develop and implement strategies to recruit and involve volunteers to support campaign initiatives, including campaign events, donor outreach campaigns, and related administrative tasks.
- Plan and deliver occasional programming and training sessions-in close collaboration with key staff who manage campaign- or development-aligned volunteer groups and boards-to educate volunteers about the campaign priorities, annual fundraising goals, and volunteer responsibilities and opportunities. Provide ongoing support and guidance to volunteers and the staff who collaborate with them directly.
- Regularly evaluate the effectiveness of volunteer recruitment and management processes. Solicit feedback from volunteers and internal stakeholders to identify areas for improvement and implement best practices.
Minimum Qualifications: - Bachelor's degree in communications, marketing, nonprofit management, or a related field, or a combination of education and experience from which a similar skillset is obtained.
- Proven experience in volunteer coordination or management, preferably in a nonprofit, fundraising, or higher education environment.
- Excellent interpersonal and communication skills, with the ability to interact professionally and positively with volunteers, staff, donors, and colleagues campuswide.
- Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office Suite experience with volunteer management software (e.g., VolunteerHub, Better Impact, or similar) and/or CRMs (e.g., Slate for Advancement) or other project management software. Familiarity with Slate for Advancement or a similar development/advancement-focused CRM is a plus.
- A commitment to engaging volunteers in meaningful ways to support fundraising and donor engagement efforts.
- Creative problem-solving and the ability to think strategically about volunteer management and support to make the W&L volunteer experience as productive, effective, and meaningful as possible.
- Excellent communication and writing skills, familiarity with digital media and technology, attention to detail, a high level of discretion and professionalism, and the talent to build relationships with internal and external stakeholders.
- Flexibility to work evenings and weekends as required by volunteer and event schedules. Ability to travel occasionally on behalf of the University to staff key events.
