Description:

This recruitment will be used to fill one full-time Administrative Program Assistant position for the College of Education at Oregon State University ( OSU ).

This position serves as the College of Education's subject matter expert for planning and scheduling course offerings and educational resource planning. The position works within highly complex scheduling models, parameters, and protocols and is responsible for supporting Program Chairs, Advisors, and Department Heads in effective and efficient placement of courses in the schedule. This position evaluates course schedule requests for conformity with university scheduling protocols and practices, advises on solutions, and monitors adherence to university scheduling requirements.

The position will also provide direct support in part-time hiring and classroom facility coordination in conjunction with course scheduling. The incumbent will be the point of contact for communications between the College of Education, the Registrar's Office, and Schedule Desk and will manage workflow for scheduling and admission processes across the College, as well as ensuring timely hiring and onboarding of part-time employees.

This position will analyze, design and help implement revised admissions, scheduling, student record keeping, and part-time hiring processes for all programs in the College to create less redundancy and more efficient workflows and processes consistently across programs.

Minimum Qualifications (Staff) / Guidelines (Faculty):

Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures.

  • Excellent communication and interpersonal skills.
  • Ability to deftly use technological tools including spreadsheets.
  • Demonstrated ability to communicate successfully and inclusively, both in writing and verbally, with a diverse audience.


This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Type:

  • Work schedule is 8:00am-5:00pm, Monday-Friday, with occasional evening and weekend work required.
  • Requires attendance at events or activities with hosting/greeting expectations.
  • Occasionally requires the ability to lift up to 20 pounds.
