Administrative Coordinator (aHEO) - MA program in Genetic Counseling, Division of the Provost

POSITION DETAILS

The Administrative Coordinator reports to the Professor, Associate Provost & Assistant Vice President, of Research and will support the development of a new MA program in Genetic Counseling, including program administration, Faculty and Student support and development of externship placements. This role will include:

? Assist in the formulating and implementing policies and procedures for the new program to help ensure compliance and operational efficiency.

? Organize and coordinate program events, including information sessions, open houses, and professional development workshops.

? Work collaboratively with university departments to ensure smooth program operations.

? Assist in clinical placement projects and initiatives that enhance the Genetic Counseling program.

? Contribute to communication and outreach efforts, including social media, newsletters, and website updates, to keep audiences informed and engaged.

? Support faculty and leadership in scheduling meetings, preparing reports, and managing correspondence to facilitate effective communication.

? Coordinate documentation and reporting for accreditation by the Accreditation Council for Genetic Counseling (ACGC).

? Maintain comprehensive program records, student files, and compliance documentation.

? Perform internet research and data collection from reputable online sources relevant to Genetic Counseling program development and activities.

? Assist with budget tracking, expense reporting, and resource allocation.

? Process invoices, reimbursements, and financial requests as needed.

? Provide logistical support and distribute necessary materials to assist with coordinating and facilitating program details, events and resources for students and faculty.

QUALIFICATIONS

? Bachelor?s degree in education, healthcare administration, genetics, public health, or a related field.

? Minimum of 2 years of experience in academic program coordination, student services, or administrative support.

PREFERRED QUALIFICATIONS

? Experience in graduate-level program administration, especially in genetic counseling or healthcare education.

? Familiarity with accreditation processes, particularly ACGC requirements.

? Demonstrated ability to apply a sound knowledge of best practices related management of records, including preservation and protection

? High degree of professionalism and personal integrity to maintain confidentiality

? Ability to work effectively and collaboratively in a team setting with diverse staff of all levels

? Detail oriented, self-directed, motivated, and proactive

? Basic experience with Adobe Acrobat (create PDF forms and templates), MS Word, MS Excel (charts & graphs), and MS Outlook

? Will learn and train to use college specific online applications: CUNYfirst, Web-Invoicing, online web appeal?s system, and CMS.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
  • May supervise office staff and student workers.
  • Performs related duties as assigned.

Salary commensurate with education and experience, within approved range:$ 60,394-$ 75,131.
